As such we reserve the right to make corrections, to adjust any purchase you make to reflect the corrected data and to provide you the corrected features and services, or to provide you a refund.
Discounts and Pricing
Our "Active Tours for Small Groups of Friends" are priced by the week, and the price listed incorporates the high, mid, or low season nature of each week. Discounts are generally offered for "Reserving Early," typically 6 months or more ahead of the tour, or before some fixed date, for example, December 31st for summer tours.
The rest of our Custom Tours–like our cycling centric tours–are offered on specific dates each year, during which time our "Active Tours for Small Groups of Friends" are not offered. These Custom Tours are priced at two levels, pre-season and peak-season, either of which may be discounted for "Reserving Early." Typically, we will offer these discounts for "Reserving Early" based on fixed dates, for example, for summer tours the pre-season discount would end in November/December and the peak-season discount would end in March/April.
Discounts apply to the listed tour price, and any time-based extras, such as extra days or weeks reserved and paid on or before the "Balance Due" date. After the "Balance Due" date, followed by a short grace period, all discounts will expire for any unpaid balances (See Balance Payments below).
Deposits
Our tour and rental deposit policy is designed to give you flexibility in planning your trip, while protecting our other client's ability to reserve their preferred weeks.
Thus, when you make a tour or rental selection and pay the deposit, you will have a certain time period in which to book your airline reservations, make personal plans, etc., before your deposit "hardens," and becomes not refundable.
While specific tours and rentals might have more restrictive deposit policies, these are our general deposit policies, which are based on the number of days in advance you pay your deposit:
Deposit paid > 90 days in advance: 10 day deposit refund period. (unless days-in-advance minus 90 is less than 10, then the difference, but never less than 7 days)
90 days > Deposit paid > 20 days in advance: 7 day deposit refund period. (unless days-in-advance minus 20 is less than 7, then the difference, but never less than 5 days)
Deposit paid < 20 days in advance: No Deposit Refunds--Entire Balance is due upon booking.
When "Balance of Trip" is paid: Deposit becomes not refundable.
Unreasonable or Disreputable Behavior: Deposit becomes not refundable. (Any behavior that unreasonably limits the availability of our tours and rentals to our clients. For example, "excessive" reservations and refund requests.)
Timing of Deposits, Scheduling Resources, and the "Effective" Availability of Tours
We reserve hotel rooms and any other resources required for our tours very shortly after we receive your deposit. Since our clients tend to reserve our tours and pay their deposits 6 months to 1 year in advance of the tour date, this usually provides plenty of time for us to schedule resources without facing resource unavailability or cancellation fees.
However, with less lead time, or for high-season and popular holiday periods, the hotels (and other resources) we prefer might not be available. If this is the case, you will be informed and given the choice of a different price/hotel/resource combination, an alternate location, or a full refund.
We always reserve the right to issue you a full refund, within the refund period (or within 5 days if no refund period is applicable), if we cannot find a price/hotel/resource/location combination we deem suitable.
Balance Payments
Our tour and rental balance payment policy is designed to ensure that we receive funds well in advance of your trip, such that both your schedule and our schedule can be finalized.
In general, all balance payments are due 90 days in advance of your tour or rental, but not before your deposit refund period ends.
While specific tours and rentals might have more restrictive balance payment policies, these are our general balance payment policies, which are based on the number of days in advance you pay your deposit:
Deposit paid > 100 days in advance: Balance payment due 90 days in advance of trip.
99 days > Deposit paid > 90 days in advance: Balance payment due 90 days in advance of trip.
89 days > Deposit paid > 20 days in advance: Balance payment due 70 days in advance of trip. (unless days-in-advance minus 70 is less than 7, then the difference, but not < 5 days. Note: your deposit is not refundable)
Deposit paid < 20 days in advance: Entire Balance is due upon booking and is not refundable.
Unreasonable or Disreputable Behavior: All payments become not refundable. That is, any behavior that limits the availability of our tours and rentals to other potential clients, or increases our costs without our agreement and without a commensurate increase in revenue. (For example, "excessive" reservations and refund requests or cancelling an "Extra" more than 14 days after the "Extra" was requested.)
In all cases, should a Balance Due payment not be made within 21 days of the applicable date—but never less than 20 days before the tour begins—any previously applied discount will expire, the balances due will be restore to the non-discounted price, and/or a 10% "late payment" fee will be added to the outstanding balance (plus Extras).
Furthermore, any Balance Due (plus extras) not paid within 28 days of the applicable date—but never less than 20 days before the tour begins—will constitute abandonment of the tour, and all logistical arrangements will be cancelled without refund of deposit (or any other funds paid).
Your tour will be primarily in Italy, which is part of the European Union, hence the Euro (EUR) is the currency which will be used to pay all tour costs. Since Altaquota Adventures is a United States based company, all payments you make through our website are processed in US Dollars (USD), regardless of your originating currency. Thus, we must convert these USD to EUR to provide the funds necessary for your trip.
Since the exchange rate is constantly in flux, typically with minor variations, we try to convert the funds for your trip as quickly as possible, to avoid the chance that any significant difference in the exchange rate will occur. Ideally, there will be no significant difference between the exchange rate we quote on our website when you make your payment, and what is charged when we convert the funds for your trip. The Foreign Exchange Risk is that a large could have a significant effect on the funds available for your trip.
Thus, our policy is to share the Foreign Exchange Risk with you as follows:
Exchange Rate Gains: Will be added to your budget, and refunded (if you don't use them) after your tour.
Exchange Rate Losses on Deposits: Shortfall will be added to the Balance Due for your Final Payment.
Net Exchange Rate Losses < 1%: We will absorb these losses. (Sum of your deposit plus payments for a tour–One or more weeks paid at the same time)
Losses or Gains on Refunds: We will refund the net Euro amount of your deposit/payment in dollars. (Note: if this is a gain, the excess amount will be paid by check rather than credited to your Credit Card or PayPal account.)
